FundMe campaigns through the IsraelGives Foundation: fees and payouts

IsraelGives Foundation, tax-deductible campaign, IDF campaign, campaign expenses, submit an expense, pay a supplier, vendor, invoice, receipt, available balance, 5% fee, closed campaign, use funds, KYC

This article is for campaigns created under New campaign › Tax-deductible or New campaign › For the IDF. Donations to these campaigns are made to the Foundation, and the Foundation issues the receipts.

The Foundation is responsible for making sure the funds your campaign raises are used responsibly, and that they are used at all. A non-profit's purpose is to use its money to do good, not to raise funds and leave them unused.

Therefore, you must start spending the funds you raised within two months of your campaign's start. If you don't, we reserve the right to close your campaign and re-allocate the funds to other social causes the Foundation supports.

What do I need to do before I can use the funds?

You must first complete a short identification process, in two steps:

  1. After you submit it, we send you a link to complete a digital identity verification.

We cannot approve expenses until your identification is complete.

How much of the money can I use?

Go to Campaign Expenses. Each of your Foundation campaigns has its own card showing:

  • Total raised (gross): all donations to the campaign.

  • Net after fees: what remains after fees.

  • Expenses paid: expenses we have already paid.

  • Available for use: net after fees, minus expenses paid, less a 10% buffer held against possible chargebacks.

The same cards also appear on your dashboard.

You can use the funds from the moment a donation is made. The Foundation advances the money before it receives it from the credit card companies. To protect against refunds and chargebacks, and because the exact card fee and exchange rate are not yet known, we hold back 10% until your campaign has ended. You can use the final 10% two months after the end date, and no later than six months after it.

How do I pay a supplier?

We pay suppliers from the funds you raised, in exchange for an invoice made out to "IsraelGives Foundation" (קרן ישראל גיבס).

  1. Go to Campaign Expenses and find the campaign.

  2. Click Submit an expense.

  3. Under Supplier, search by supplier name or company ID (ח.פ.). If the supplier isn't listed, click Add a new supplier (see the next section).

  4. Fill in What is the expense for? and Sum (NIS, incl. VAT). If the invoice is in another currency, choose it under Invoice in a foreign currency? and enter the amount.

  5. Choose the Document type (for example a tax invoice, or a transaction account / pro-forma invoice). Enter the Invoice number and Invoice date.

  6. Upload the Invoice document as a PDF or image.

  7. Click Submit an expense. You'll see "The expense was submitted and is awaiting review."

Important: Do not pay suppliers out of your own pocket. We must pay the invoices directly. If you pay yourself, we can't reimburse you.

How do I add a new supplier?

  1. On the expense form, click Add a new supplier. You can also go to Suppliers from the campaign card.

  2. Enter the Supplier name, Company ID (ח.פ. / ע.מ.), Bank, Branch and Account number.

  3. Enter the Withholding tax (%). Enter 0 for a full exemption.

  4. Upload all three certificates: Bank account confirmation (אישור ניהול חשבון), Bookkeeping certificate (אישור ניהול ספרים) and Withholding tax certificate (אישור ניכוי מס במקור).

  5. Click Save supplier.

Our team reviews every new supplier. A supplier shows as In review, Sent back (with the corrections needed) or Approved. You can submit an expense for a supplier that is still in review, but the expense is approved only after the supplier is approved. Once approved, only the IsraelGives team can change the supplier's details.

What do the expense statuses mean?

Each submitted expense appears in the list on the campaign card with its status:

  • Submitted: waiting for our review.

  • Initial Approval and Final Approval: the expense is going through our two approval steps.

  • Paid: we paid the supplier. The payment date is shown in the Paid column.

  • Reconciled: the final step after payment. The expense is closed.

  • Rejected: the reason is shown under the status.

We try to review submissions within one business day, during our working hours: Sunday to Thursday, 9:00–17:00. Supplier payments are made once a week, on Thursdays.

What do I send after the supplier is paid?

Right after the payment, the supplier must give you a receipt (קבלה), or an invoice-receipt (חשבונית מס קבלה) if you originally submitted a pro-forma invoice (חשבון עסקה).

  1. On the campaign card, find the expense and click the link in the Follow-up column.

  2. On the Follow-up documents page, choose the file and the Document type (for example Receipt).

  3. Add a short description and click Add.

You can also add progress reports, photos and proof that the work was done.

Can I see the donations to my campaign?

Yes. On the campaign card, click Donations list. It shows each donation with the amount, tip, fees and net amount in NIS. Click Download to Excel to export it.

My campaign was closed. Can I still use the balance?

Foundation campaigns are closed after six months without activity, and the balance is re-allocated to other social causes. If your campaign was closed, you can ask to use the remaining balance:

  1. Go to Closed Campaign Funds.

  2. Under Start a new request, click Apply on Request to Use a Closed Campaign Balance.

  3. Fill in every section: the campaign, why the funds were not used in time, what you will use them for (with a budget and timeline), the beneficiaries, supporting documents, and the declarations and signature.

  4. Click Submit application. You can click Save draft to finish later.

Explain fully why the funds were not used, and exactly what you plan to do. A request without a clear explanation and plan cannot be approved. Your request appears under My applications, where you can follow its status. If it shows Returned for editing, fix the marked sections and submit again. Approval is at the sole discretion of IsraelGives.

What are the fees?

The Foundation collects a 5% fee and makes 95% of the funds raised available for your campaign.
